SPEAKER INFORMATION

Important Information

  • Arrive at the theatre you are speaking in 15 minutes before your session.
  • You have 45 minutes for your session – we suggest presenting for 30-35 minutes and allowing 10-15 minutes for questions.
  • You DON’T need to send your presentations to us. Please bring your presentation to the event on a USB memory stick. Should you wish to present from your own laptop, you can plug this in at the theatre instead. If you are bringing a mac, bring any necessary link cables.
  • The venue does have WiFi but do not rely on this for your presentation. We strongly recommend having all content pre-loaded.
  • If you wish to collect the data of the visitors who attend your session, you will need to have someone in the theatre to scan badges as people exit. Please ensure everyone knows why you’re scanning badges. For example – ‘to receive further information/slides from this session please allow ‘John’ at the back of the room to scan your badge on exit.’
  • Please note – all speakers will receive a speaker badge two weeks prior to the show.

Technical Information

  • All show laptops are pre-loaded with Microsoft Windows 10 or 11 and loaded with Office 365.
  • All theatres have a lectern, screen, and laptop. Video files need to be in the following formats: WMV, MKV, MP4, .MOV. Screen resolutions are: 16:9 aspect ratio with a maximum resolution of 1920 x 1080.
  • If your presentation has video or audio, please ensure the files are saved along with the presentation. Videos must be incorporated into your PowerPoint presentation, as there will be no provision for DVD/YouTube playback. This also applies to any images and audio you may have.
  • We do not provide adapter cords, so if you require one please bring your own.

  • Save any videos, audio, images and fonts into the same folder as your PowerPoint presentation. Please note they are NOT automatically saved within the presentation.
  • Save your presentation in the following format – Speaker Name / Date / Presentation Theatre.
  • Audio Video Interleave (AVI) is a generic term used by Microsoft to describe audio/video data stored on a computer. AVI files require a certain CODEC in order to run. We may need this CODEC in order for your AVI to work correctly on our computers.
  • If your presentation was created on an Apple Mac computer, please ensure you save it in a Microsoft PC format with a .ppt suffix on a PC formatted disk or USB Memory Stick. Remove any settings that automatically advance your presentation slides.
